City Council Representation at “Out of Town” Functions Policy

1.     Policy Statement

1.1       This policy establishes the protocol for Council representation at out-of-town functions.

2.    Definitions

            Not applicable.

3.    Applicability

3.1       This policy shall apply to City Councillors.

4.    The Policy

4.1       In those instances where the Mayor is unable to represent Council at an out-of-town function to which the Mayor has been invited, and in the event that the Deputy Mayor and/or the Acting Mayor of the day are also unable to represent the Mayor on behalf of the Council at such function, the Mayor shall canvass all of the other City Councillors as to their interest and availability to attend the function, before making a decision as to which City Councillor will be selected by the Mayor to represent Council.
